Executive Administrative Assistant

President/CEO and WVIA’s Board of Directors

Job Overview:

The Executive Administrative Assistant is responsible for providing comprehensive organizational and administrative support to WVIA’s President & CEO and WVIA’s Board of Directors by developing and implementing administrative systems, procedures, and policies; monitoring administrative projects; communicating with leadership and staff; and creating and maintaining organizational schedules.

Primary responsibilities and duties include:

  • Manage and maintain executive schedules, including scheduling travel and conferences, making appointments, and making changes to appointments.
  • Answering and directing calls to appropriate executives and parties, taking messages when necessary.
  • Greeting visitors and determining access to appropriate parties.
  • Recording and distributing accurate meeting minutes.
  • Opening, sorting, and distributing correspondence, including email, faxes, and snail mail.
  • Reading and analyzing submissions, letters, agendas, memos and resumes.
  • Managing projects and conducting research for executive team upon request.
  • Coordinating general administrative finances, budget, and purchases.
  • Prepare executive responses to routine memos, letters, or correspondence.
  • Serve as Assistant to WVIA’s Board of Directors
    • Schedule full board and committee meetings
    • Recording and distributing accurate meeting minutes
    • Proof, edit, and distribute board documents (digital and hard copies)
    • Communication liaison between board members and organization

Minimum requirements for this position:

  • Five years’ minimum relevant experience directly assisting senior management
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem solving skills
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • Maintain confidentiality of sensitive and proprietary information
